Administrative Support Specialist

Location: Columbia, MD
Work Status: Full-Time/Part-Time

Job Description:
- Distribute necessary supplies, course materials and books, forms to students, individuals, participants, interns etc.
- Act as a customer service focal point for students, participants, interns etc. answering questions and coordination activities and schedules.
- Submit visitor requests (VR).
- Contact individuals, to include vendors, via e-mail or by telephone with guidance and directions to the facility.
- Organize and schedule initiatives that support the Center to include vendor training.
- Communicate and team with other schedulers.
- Provide assistance with entering and managing records to include filing, typing, archiving and data entry.
- Support general office functions to include answering the phone, typing reports, letters, memos, attending
meetings and recording and distributing meeting notes, etc.
- Assist in preparing workshops, seminars, training for students and participants,
to include preparation, classroom clean up, entering grades and other information
into Peoplesoft, coordinating and completing all follow-up activities.
- Manage, update and enter student/participant records and data.
- Assist in preparing, briefing and presentation materials to include power point presentations.
- Reviewing, validating, coordinating and processing inquiries for student/participants.
- Communicating with participants and individuals, at all levels, via telephone and electronic.
- Tracking correspondence.
- Maintaining, creating and updating personnel data in Peoplesoft databases and spreadsheets.
- Reviewing and processing various professional development forms and documents.
- Assist with scheduling and coordination meeting, graduation ceremonies and tours.
- Other similar administrative support that is deemed appropriate and necessary.
Job Requirements:
U. S. Citizenship is required. A Linguist background is required. Candidates will be required to undergo an in-depth background investigation.
